This Privacy Notice describes how SemPro Company Inc., operating NorthVIN ("NorthVIN", "we", "us", or "our"), collects, uses, discloses, protects, and retains personal information. It applies to our website, SaaS workspace, business accounts, vehicle workflow tools, inspection documents, optional vehicle-data lookups, digital orders, support communications, and related services.

1. Accountability

SemPro Company Inc. is responsible for personal information under its control. Our privacy contact can be reached using the details at the end of this Notice. We handle personal information in accordance with applicable Canadian privacy law, including Alberta's Personal Information Protection Act and, where applicable, federal law.

2. Information we collect

  • Account information: name, email address, password hash, account role, balance, and account activity.
  • Workspace and vehicle information: vehicle identifiers, inspection details, customer details you enter, availability results, digital document status, generated files, order identifiers, and access history.
  • Payment information: amount, currency, payment status, provider transaction identifiers, top-ups, debits, and refunds. Payment providers process full card details; NorthVIN does not need to store the complete card number or security code.
  • Support information: messages, contact details, and information you choose to provide when asking for help.
  • Technical information: IP address, device and browser information, language, approximate country, timestamps, security events, cookies, and similar logs.
  • Marketing preferences: consent and unsubscribe records where marketing communications are offered.

3. How we collect information

We collect information directly from you, automatically when you use the service, from payment and fraud-prevention providers, and from vehicle-data suppliers when optional vehicle-data access or document generation requires it.

4. Why we use information

We use personal information to create and secure accounts; operate SaaS workspace features; validate vehicle identifiers; process payments and balances; generate, store, display, and email digital documents; provide receipts and support; prevent fraud and abuse; enforce limits and terms; maintain logs and backups; improve reliability and user experience; comply with tax, accounting, legal, and regulatory duties; and establish, exercise, or defend legal claims. We use information only for purposes that are reasonable and appropriate in the circumstances.

5. Consent and choices

Where consent is required, we seek meaningful consent at or before collection. You may withdraw consent for optional uses, subject to legal or contractual restrictions and reasonable notice. Withdrawal does not affect earlier lawful handling and may prevent us from providing a feature that requires the information.

6. When we disclose information

We may disclose information to payment processors and merchants of record, vehicle-data suppliers where optional data access is requested, email and communications providers, cloud hosting and database providers, security and analytics vendors, professional advisers, and authorities where required or permitted by law. Providers receive only information reasonably needed for their work and are expected to protect it. We may also disclose information in connection with a financing, merger, sale, reorganization, or transfer of all or part of the business, subject to appropriate protections. We do not sell personal information.

7. International processing

Some providers may process or store information outside Alberta or Canada. Information in another jurisdiction may be accessible to courts, law-enforcement, or regulatory authorities under that jurisdiction's laws. We use contractual, technical, and organizational measures appropriate to the service and the sensitivity of the information.

8. Cookies and analytics

We use essential cookies for sessions, security, language selection, checkout, and account functions. If enabled, analytics or advertising technologies may collect usage data as described in the consent interface or cookie settings. You can control non-essential technologies through available cookie controls and browser settings, although blocking essential cookies may prevent parts of the service from working.

9. Communications

We send service messages needed to complete orders, deliver generated documents, issue receipts, reset passwords, and protect accounts. If we send commercial electronic messages, we do so with consent or another lawful basis, include sender identification, and provide an unsubscribe method. Unsubscribing from marketing does not stop necessary transactional or security messages.

10. Retention

We retain information only as long as reasonably necessary for the purposes described above and for legal, tax, accounting, fraud-prevention, dispute, and backup requirements. Retention periods vary by record type. When information is no longer required, we delete, anonymize, or securely dispose of it, subject to technical backup cycles and lawful holds.

11. Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, encryption in transit, credential protection, monitoring, rate limits, backups, and restricted server-side access to secret keys. No internet service can guarantee absolute security. Please use a unique password and contact us immediately if you suspect unauthorized access.

12. Access and correction

You may ask for access to personal information under our control, request correction of inaccurate information, or ask questions about our practices. We may need to verify your identity. Applicable law may permit or require us to refuse access to limited information, in which case we will explain the reason where legally permitted. You may also request account deletion, subject to records we must or may retain by law.

13. Children

NorthVIN is not directed to children under 13, and we do not knowingly collect personal information from them. A person who is not legally able to contract should use the service only with the involvement of a parent or legal guardian.

Links to third-party sites and services are governed by their own terms and privacy notices. We are not responsible for their independent practices.

15. Changes to this Notice

We may update this Notice to reflect changes in law, technology, providers, or our services. We will post the updated version, revise the date above, and provide additional notice where required.

Contact us first so we can investigate and respond. You may also have the right to complain to the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada, depending on the matter.
